Programs to text and/or chat to clients

    Hi everyone,

We're looking for a program to allow our family support partners to chat or text with the families we serve. Can anyone suggest programs that are cost-effective? We don't want them to use their personal phone numbers to allow them a work/life balance.

We use Slack at Firefly Partners. They have a free edition you can set up that allows you to chat both with typing, and with calling. Plus you can easily set boundaries for time, and turn off notifications if you're busy or can't respond. If you're interested in learning more, we just started our own COVID-19 Resource page that can help guide you through the process. Thanks! We use Slack for our internal communications but it wouldn't be appropriate for our needs working with clients.

    Hi Christina,

There's a few different routes you can go with chat, based on the user experience you're going for.  Here's a few questions to think about that should narrow down your choices:

    • Do you want ad-hoc text/chat, like, a family member at any time can pull out their phone and text one of your partners?  Or do you only want people to make appointments or chat at scheduled times?
    • Do you want each client to always get "their" person, like a case worker?  Or can anyone who's "on shift" pick up a text from any client, like tech support?
    • What kind of reporting do you need -- specifics of who chatted with who for how long?  Or is that not important?
    • Do you want to keep a log of the conversation?
    • How important is old-fashioned text vs. smartphone apps? Most chat systems have free apps for iphone and android, but if you expect any significant percent of your audience not to have a smartphone, text might be a requirement.  On the other hand.... smartphone apps work over wifi, so if you imagine someone has a smartphone, but either canceled their calling plan, or ran out of time on a pre-paid plan, or was given an old smartphone but can't afford to "activate" it, they could get on public wifi somewhere and chat with you.
If you know these answers, they might help people here make more appropriate recommendations.  If you don't, these might be some good points to bring up with your team.

    Cheers,
    Nate

    Hi Nate,
We have a form that people will use to contact us requesting a response by text so we're envisioning this as us initiating the text. We don't want our clients to have our staff's personal phone numbers for a variety of reasons but primarily because if they reach back out several weeks/months later they may need to work with another staff member. We can keep our own stats and log on the chat so that option is not that important. It's probably easiest if our staff has the option to text back from either their laptop or phone. Clients should be able to text us from their phones just as they normally would.
Thanks for any suggestions you can offer.
