Seeking Feedback - Event Registration & App Software

Hi! We are currently shopping around for event registration platforms that offer an integrated app and are hoping for some consumer insight. We anticipate about 150 attendees at our upcoming annual conference and hope to offer two concurrent session tracks. We are looking for something simple to use, straightforward on the front end, and within a reasonable price range. We are now comparison shopping between Attendify, WHOVA, and Cvent, and would love to hear feedback from anybody who has previously used these platforms/apps! Thank you in advance for taking the time to share!

    Best,
    Cayla

I've used Cvent's AttendeeHub app solution for a few years over several events, but not their registration services or badge printing.

The app is very easy to manage and update-we upload all the event data with spreadsheets and it only takes a few hours to get the whole event set.

The best part is our attendees find it easy to use and adoption has been pretty good.

I'd be happy to answer any questions about it.

    Best,
    Greg

    Hi Greg,

Thank you for your feedback! To clarify, do you use event management software external to Cvent? I am wondering if you have found it cumbersome not having the event management software directly integrated with the app? Additionally, I am wondering what drew you to the Cvent app over any others?

Thank you again for your response!

    Best,
    Cayla

    Cayla,

We use the event registration tools in CiviCRM, which, installed as part of our Drupal7-based website, is the swiss army knife for our association. Using the CiviCRM registration tools means logged-in members don't have much information to enter at registration and the reg details all fall conveniently into their member records.

We use shared Google Sheets within our organization to build and prep the event as well as populate the event schedule details on our website.

The Cvent app could be better, certainly. The worst thing about it is that there are no admin tools available in the app and no separate admin app either. However, because we are so committed to our shared spreadsheets, 99% of our event details can be quickly and easily uploaded to Cvent's event management website and uploaded again if the details change.

We were initially drawn to Cvent's solution and, in part, stay with it because of price.

Hope that helps! Happy to answer any other questions you may have.

    Hi Greg,
About 4 years ago we started hosting a multi-day, multi track/session paid conference event.  Doing this with our existing event solution was not feasible.  After reviewing potential solutions we chose Cvent and Attendee hub (the mobile app).  These solutions have worked well for us and the attendees (first year 450, last year ~700 in person with ~300 remote for the live streams).  One area of additional work was integrating Cvent with our CRM, salesforce, so don't over look that effort no matter what your choice.  Attendees really like the mobile app and we get more than 95% adoption.  Adoption is so high we don't even print materials any more, which saves about $10,000 in printing costs which helps to offset the added cost for Cvent.Attendee hub.

    Hi -

I've used Whova at a couple of recent events and really liked it.

Our conference organization (NHSDC) just entered into a contract with Whova for the fall 2019 and spring 2020 conferences.  The only thing I'll caution about is that while each breakout can be linked to a distinct post-survey, there is a per session survey charge of $50. In general their pricing is pretty a la carte based which can be a good or difficult aspect.

We used a different app for our spring conference and based on the post-conference feedback people really wanted the functionality to start affinity groups which Whova does very easily.

We have an event once a year for about 750 people and we have breakout sessions that people register for during the registration process. We use to use CVENT but we kept running into a few hurdles so we looked at other options and landed on a product called RegFox. The pricing is pretty straightforward (and I believe there is no contract). They charge $.99 per registration plus your credit card fees. I believe they also have a mobile app but we haven't used it yet.
