    Hi all,

    We're looking for a document sharing software that meets compliance for documents related to addiction treatment that fall under 42 CFR regulations.

    We are partnering with a third party service provider on a project related to opioid addiction.  The third party service provider needs to
    be able to scan several paper forms into a cloud based system using a tablet and have those forms be accessible to our team and the third party service provider.  Information from these forms will then be entered into our case management system (Salesforce) and into their EMR system (eClinicalworks).

    In the interest of privacy, the third party service provider will not have access to our Salesforce, so we can't use a Salesforce add-on that would import a form directly into Salesforce.  I don't know what data sharing into or out of their eClinicalworks system looks like, but our team would not have access to their eClinicalworks system.

    Does anyone have a system they use that they would recommend?

    It looks like Box may be HIPAA compliant but I couldn't find any information on if they are 42 CFR compliant.

    Hi Emma,

    The app I provide may be a good fit for consideration.

    I do not know your available IT infrastructure but a cloud-based system is not "required" for what you are describing. An internet-ready browser-based software is also compatible. Our app is available in both Cloud or On-Premise (our On-Premise is internet-ready). The only differences are data back-up and server maintenance responsibilities and long-term financial cost outlook as both of our platforms are the identical browser-based product.

    We can certainly ingest (capture) paper forms in multiple methods, direct scan, scan to FTP, electronic upload, email address monitoring and others. User credentials can be given to the third party for greater capture functionality and full audit trail of access/submission of all documents. Data from forms can be auto-extracted (eliminate data entry) to SQL database and auto-exported to multiple applications such as SalesForce and their eClinicsworks system. We can integrate via API as well if available. Upon capture of forms they may be routed automatically to specific team members in your organization for review/quality control prior to data transfer. Digital signatures are also included within our app without additional licensing or costs.

    I would also recommend converting all or some of the paper forms into fillable PDF forms for greater quality and functionality. Forms can be filled out via tablet/phone/PC/Mac in our app from anywhere in world with internet access and submitted inside or outside of our solution depending on your requirements.

    What are the requirements for meeting compliance?

    Content Central achieves compliance for HIPAA, FERPA, SOX, several digital signature regulations plus others. Ultimately these regulations including 42 CFR all have similar requirements along the lines of encryption, document-based permissions of access and control, full audit trail of document lifecycle for data integrity and multiple access controls.

    42 CFR is not a "mainstream" regulation which is why you may have trouble finding solutions that state they are 42 CFR compliant.

    The most important thing to remember is that most document management (document control) software solutions can give you the tools to meet compliance however they still need to be configured correctly upon implementation with the help of your legal/compliance team.

    I would be happy to learn more about your requirements and provide a proof of concept showing how we can meet those regulations.
