A group for those in nonprofit IT decision-making roles to connect with peers and share best practices. This Technology Decision Makers group is for nonprofit IT or MIS Directors/Managers as well as CIOs and CTOs to connect with their peers and share best practices. Topics for discussion include, but are not limited to: hardware and software management, product reviews, emerging technology, best practices, collaborating effectively with other departments, and management conundrums.     Hey everybody,

    Is anyone using an online hosting service for QuickBooks desktop files?  I have a nonprofit client running QB 2019 Premier with the files on a server that was built when Obama was still a Senator, so we'd really like to move the data into the cloud.  We've thought about QBO but that conversion is nontrivial and there are some Desktop functions that still aren't available in QBO.  And it's not just as simple as putting the files on a cloud server, as there are a couple services that need to be running for the QB Desktop to access them.

    There are a bunch of commercial companies that will host the files, and those are listed on Intuit's site:

    But my question is, "Has anyone used any of these services, and if so, are there ones you would recommend for or against?  And do you know if any offer nonprofit pricing?"

    Hey Tom -

    We just moved our in house QB desktop to hosted a couple of weeks ago due to building closures. I can email you our eval matrix with the caveat that it's not nearly as robust as what we normally look at as we were on a very quick timeline. We landed on Apps4rent, which sounds like the cheesiest fly-by-night company ever just on the name :). Cloudvara & Virtual Systems Hosting also met our requirements. Cloudvara was first choice but Apps4rent came out a little cheaper and responded faster and we had to rollover fast. Cloudvara & A4R both offer 10% off for nonprofits. Things we found:

    - Most are offering a virtual RDP server w/multiple accounts as opposed to virtual server w/virtual client desktops separate.
    - if you want more than 2 CPU and 4GB RAM for that server, you'll pay more than the base quote.
    - Make sure any extra bits actually run on a server OS if that is what is on offer. We needed to upgrade a couple of programs to accommodate that and switch out our O365 excel versions to run on a server OS
    - You may need additional software like Print2RDP to get your check printing solution working depending on what that solution currently is
    - Not all vendors will let you bring your own licenses for things like Excel if your folks need that. Some will charge you extra for a license for it and not let you use your lic.

    Depending on your client, you could also look at doing an RDP server hosting in AWS and they could use the $2000 annual TechSoup AWS grant to negate a lot of the cost of it that way. Either you or they would need to be the tech support for it in that scenario so that might affect your decision there.

    QuickBooks doesn't need anything fancy for hosting the company file. I have one nonprofit I serve working off of a company file stored in Dropbox.

    I should have specified that they are running Multi-User mode, which needs to run the QuickBookDBxx service (xx refers to the version, ours is QuickBooks26 from QB 2019 Premier) as well as the QBMonitorService.  If those are not running or get messed up, you definitely can't run multi-user.

    Hi Tom,

    If your client would consider a document management software rather than simple storage please have them consider our app "content central".

    Our app is available for integration with QBO or desktop. And both are listed as authorized apps on the Intuit portal.

    Ademero is currently offering BOGO licenses for both Cloud (subscription) or On-Premise (perpetual).
