This group is for those interested in learning and sharing about all things data-related for nonprofits. The Nonprofits and Data group is for people using data to serve a mission, either directly or by improving nonprofits and the nonprofit sector. That includes everything from collecting data and managing databases to analytics, data visualization and data mining. Here are some examples of topics we discuss: using data to improve organizational effectiveness, measuring impact, using data for storytelling, tools for data management and analysis, figuring out the “right” data to collect, and learning skills to help us use data better.

    Hi !

    You can usually find me on the Drupal discussion boards, but I have a data question for the After School Program nonprofit on which I sit on the board. 

    The school is looking for a new CRM that could handle registrations (including households) and also serve as a platform for recording donations related to events and individual contributions.

    We've downloaded the idealware report, but I was wondering if anyone has researched CRMs specifically for nonprofit schools.

    Hey Erin, glad to have you here!  Are you looking for a CRM that can also handle tracking participants in an afterschool program in addition to donors/events, or for students registering in the school as well as the afterschool program and all development activities?

    Anybody who tracks this type of data have any experiences/recommendations to share with Erin?

    Erin CiviCRM would be a great solution for you. Not only will it handle registrations and donations but it also easily keeps track of family relationships. You can have a student record as well as "mother of " "father of" or "parents of" related records.

    A quick +1 for Edmund Stawick's CiviCRM recommendation. Powerful, useful, flexible, and open source. How much you spend on it largely depends on your (and your team's) ability to install/configure/maintain it, how you choose to host it, and whether you hire any consultants.

    Hello Erin,

    I run data tracking at my school and what we have been using is Kintone. It allows us to customize every field to the way we need it to. It allows for relational data tracking, and if we find that we are missing certain data to track, we can make the change is real time and fix the issue. In terms of a CRM system, it works well. Adding a field is simple as well. Also it costs very little for Non-Profits. The annual cost is $300 for 50 users. This has been invaluable to my school. So maybe it will help you as well. Your best solution depends on your organization's size, budget, staff readiness to adopt to new technology, and most importantly, your school's goals and growth strategy.

    Thanks everyone for your responses on this. I'll investigate each of your suggestions more closely with the nonprofit.

    In the meantime, I did get some additional information on what they view as their prioritized needs:
    • Ability to handle complex households
    • Non-donor constituents
    • Track other info (skills, interests)
    • Event attendance/participation (relatively simple requirements)
    • Email integration and mail merge
    • Log contacts
    • Import (and possibly export) data from registration system (1-4 times/year?)
    • nice to have: integrate online payments, integrate accounting

    They are thinking, from their initial research, that they'd need a donor system/CRM that is separate from a registration system. Would you agree that's the case? or do any of the suggested systems integrate registration (in this case, student's and their families) with the CRM?

    Erin, a comprehensive assessment and product selection process is really the only way to ensure that the org will pick the best solution for its use-case. There are so many products, so many constellations of integrated systems, and so much possible variation in requirements at the client that the best any of us can say to any of the questions you're struggling with is "it depends." A deeper dive will be needed to come up with better answers.

    Hi Erin,

    As you mentioned, a good, robust CRM system will be helpful to act as a central data repository and drive surrounding operations. The main benefit of selecting the right kind of system is that it will offer a selective view into your data/profiles based on the individual's role and responsibility, and allow all related aspects of your data to be gathered. A few robust and well-designed systems in the market that help manage one of the operations, such as donations/donor management, may serve one function really well, but they are a point-to-point solution and addressing your needs will then take sewing several such solutions together (and that is not easy and often not supported by all systems).

    Also, the fact that you need to connect online payments etc. means that you will need a system with a good integration capability with a good deal of variety of those applications available. I can assure you that your integration-related needs will only grow as your organization begins to collect more data; and vice versa.

    By the way, I agree with the earlier comment about the need for a comprehensive assessment & evaluation (selection) process -- there is really no substitute to that. If an organization can afford it, then they should allocate the budget for it. During my work, I have seen time and again, that a technology decision made in a hurry, without proper assessment, leads to long-term loss of efficiency and insights.
